Volunteer Positions in the TESIG Leadership

The TESIG is run by a volunteer council, who are elected by the TESIG membership. Elections are held in the fall of each year, and new officers begin their terms on January 1.

The following is a description of each of the TESIG volunteer council roles.


Manager

Term: Two years
Time Commitment: Varies based on the time of year and the number of additional volunteers signed up to help you achieve all these goals.

As a TESIG manager, you will interact with TESIG members, the Society office, and the STC board of directors.

The TESIG manager’s role includes these tasks:

  • Review the TESIG’s mission statement annually and set goals for the year
  • Respond to TESIG members’ needs, offering them opportunities to volunteer, network, and gain leadership experience
  • Provide recognition to TESIG volunteers through STC and TESIG award programs
    • STC Community Achievement Award (CAA)
    • STC Pacesetter Award
    • STC Distinguished TESIG Service Award (DSSA)
    • Technical Editing TESIG Volunteer of the Year Award
    • Technical Editing TESIG New Volunteer of the Year Award
  • Work with volunteers to
    • Plan a successful program of activities that promote professional development
    • Keep members informed of TESIG activities
    • Publish a newsletter
    • Maintain a web site that keeps TESIG members up to date on events and volunteer opportunities, informs the technical communications community about our TESIG’s goals and achievements, and invites technical communicators to join the TESIG and become involved
    • Provide an online forum and discussion group
  • Communicate with the STC board, staff, and committees
  • Work with the TESIG treasurer to prepare an annual budget, obtain approval of the budget from STC, and monitor TESIG activities to ensure responsible stewardship of the budgeted funds
  • Lead the TESIG’s involvement at the STC Summit, including
    • Planning and leading the annual TESIG business meeting
    • Hosting a table at the Communities Reception
    • Encouraging TESIG members to participate in the conference as speakers, panelists, or progression leaders
  • Work with the membership manager to encourage increased TESIG membership and volunteer involvement
  • Upload information about upcoming events to the TESIG website, and (working with other volunteers) set up the Eventbrite page for fundraisers, quarterly meetings, and other events

Treasurer

Term: One year
Time Commitment: 5-10 hours per month

The treasurer’s role includes these tasks:

  • Manage the TESIG budget
  • Prepare the TESIG budget for the following year (October/November)
  • Coordinate with the Society office regarding the TESIG’s financial matters
  • Track expenditures
  • Complete additional duties as assigned by the TESIG manager

Secretary

Term: One year
Time Commitment: 5-10 hours per month

The secretary’s role includes these tasks:

  • Record minutes at the monthly volunteer meetings
  • Post volunteer meeting minutes to the TESIG Google Drive for review by council members
  • Perform additional duties if necessary as assigned by the TESIG manager

Membership Manager

Term: One year
Time Commitment: 5-10 hours per month

The membership manager’s role includes these tasks:

  • Download the monthly membership report from stc.org, and report on membership numbers at each volunteer meeting
  • Send a welcome letter to each new or reinstated member
  • Promote membership renewal during the annual STC membership renewal campaign
  • Send renewal reminders to members
  • Inform TESIG members of key membership renewal dates
  • Send announcements about upcoming events and volunteer meetings to the TESIG announcement list
  • Complete additional duties as necessary as assigned by the TESIG manager

Student Outreach Coordinator

Term: One year
Time Commitment: 5-10 hours per month
Current technical communication students are preferred.

The student outreach coordinator’s role includes these tasks:

  • Work with technical editing students to discuss the needs, dreams, and issues of the next generation of technical editing practitioners
  • Be in touch with technical communication instructors, TESIG student chapters and members, and other technical editing students to get students more involved
  • Create and run monthly virtual chat meetings for students and experienced technical editing practitioners to discuss editing challenges, as well as share helpful resources, editing tactics and tips, career advice about finding internships/jobs, and so on
